Western Australia's Oldest Tertiary Hospital Expands Partnership with RosterLab Following Successful First Year

A major Australian tertiary teaching hospital has expanded its partnership with RosterLab, extending the use of its AI-powered rostering platform across eight additional departments following a successful first year of implementation.

The expansion builds on RosterLab’s initial deployment in the hospital’s Intensive Care Unit (ICU) and Acute Medical Unit (AMU), where the platform has been used to automate complex rostering processes, improve compliance, and support better working conditions for clinical staff.

The hospital is the oldest tertiary hospital in Western Australia, and one of the largest and busiest in the country. It delivers a wide range of tertiary-level services including trauma, emergency care, complex surgery, and specialist medical services. This scale and complexity make workforce coordination particularly challenging, with diverse clinical teams operating across highly dynamic, shift-based environments.

The newly onboarded departments include Plastics, Cardiology, Psychiatry, Emergency, General Surgery, Orthopaedics/Spinal, Gastroenterology, and a State Trauma Unit, reflecting growing demand for smarter, more flexible workforce planning solutions across varied clinical settings.

Scaling impact across the organisation

RosterLab was first introduced through a clinician-led initiative, driven by the need to reduce the administrative burden of manual roster creation and improve roster quality. Following strong internal support and a successful initial rollout, the hospital moved to expand the platform’s use before the initial contract term had concluded.

Improving clinician experience and wellbeing

While formal data collection is ongoing, early feedback from clinicians points to meaningful improvements in both operational efficiency and staff wellbeing. As the Deputy Director of Medical Services noted “The introduction of Rosterlab is an important step forward in how we support our junior doctors. By improving transparency, enabling preferences, and simplifying processes such as shift swaps, we are supporting both wellbeing and a more positive training experience.”

In parallel, an internally supported study examining fatigue outcomes observed a reduction in extreme fatigue levels among clinicians using RosterLab-generated rosters, reinforcing the platform’s potential to support safer and more sustainable working environments. The outcome of supporting a safer, more sustainable working environments for clinicians, is two-fold where their wellbeing leads to high-quality patient care.

Driving efficiency and innovation in workforce design

Beyond optimisation of existing rosters, RosterLab is also enabling departments to model and evaluate new workforce structures before implementation.

In one surgical department, proposed changes to shift design, including the introduction of a dedicated evening role, were modelled and compared against existing rostering approaches. The analysis demonstrated a potential reduction in labour costs of approximately $5,000 per week, alongside improvements in workflow and reduced unplanned overtime.

This capability allows hospital leaders to make data-informed decisions about workforce configuration, balancing cost, compliance, and staff wellbeing.
